Twelve Oaks is a flooring supplier and distributor and has been in the flooring business for over a decade, mainly catering to flooring specialty stores across Canada and the USA. Today a thousand stores across North America have partnered with Twelve Oaks® to reinvigorate the meaning of value in the flooring trade. Our wide selection of products – engineered hardwood, solid hardwood, luxury vinyl, and laminate floors all bear the stamp of approval from our satisfied consumers. We have a dedicated in-house marketing and product development team that works closely with designers across North America. Their mission is to constantly be on the lookout for new inspirations and seamlessly incorporate those ideas into new product designs.

Overview

When we first started, we used a basic accounting and inventory system, but we were growing fast and knew we had to get into an enterprise-level ERP system that would grow with us, says Victor Ma, IT Manager at Twelve Oaks. We needed a product that met the needs at the time and would meet our needs in ten years and beyond. Our most pressing needs were multi-currency purchasing and sales, landed cost tracking, multiple company operations for both the USA and Canada, substantial inventory and order management systems.

Evaluation

We searched for products on the web with the criteria to meet our needs for today and tomorrow. We shortlisted several products and went through the usual demos and presentations.

Solution

Aquilon ERP was one of the products we reviewed, and after several presentations and discussions, we chose the software as they were able to prove that the software met our needs, is scalable, and we would use the software for a long time before we outgrew it. Because Aquilon had many customers in the wholesale distribution business, some quite a lot larger than our company, it gave us the comfort that we were choosing the right system.

Conclusion

We implemented Aquilon in one branch office to start, then a second branch office followed by our USA operations. Once we mastered the FAST implementation tools that come included, we could implement the software independently of Aquilon. The order and inventory management systems are robust and stable even as we grew the business and exceeded our growth expectations. We are now able to see inventory levels across the entire group and have used the tools to optimize our inventory. The ability to set up custom queries and reports is a significant advantage as we are self-sufficient and don’t need a lot of Aquilon’s support.

We have been using the software for close to six years, and it has been stable and robust. It may not have the beautiful interface of some of the competitors, but it is intuitive, easy to use, and works well. It has all the functioning modules that a wholesale/distribution needs and works quite smoothly. We have zero cases of the software being down or data corruption.

On many occasions, we have suggested improvements to the software that would help our company and others. In each case, Aquilon has been willing to listen and get the changes done quickly at no cost.

The other thing we are very satisfied is the technical support, says Victor. “The technical support team is very accessible and very knowledgeable, compare to the large software vendor, with whom the requests usually handled by different tiers of technical support and it usually takes quite long for us to get a solution. With Aquilon, our requests are always answered promptly, and the issues are solved quite quickly. The technical support staff we have dealt with are very knowledgeable with the software, which is a huge relief for our users, especially in the first few years”.

Also, with the financial and accounting module fully integrated with all other modules, our accounting department is really satisfied, says Victor. They are able to conduct their daily work such as bookkeeping, AR, and AP much easier and can see and analyze company’s financial data thoroughly.

While we are exceptionally happy with the software there is always room for improvement and we are working with Aquilon on several new projects that will further enhance our processes and systems.
